Use Case

Secure data exchange for tax consultants, law firms, medical practices & more

memo transfers documents directly between your computer and that of your client, patient, or customer.
Nothing is stored on external servers.

Developed in Germany · No cloud sign-up · No third-party data storage

Email is not suitable for sharing confidential documents

Still using email to exchange sensitive data? The reason is simple: everyone can do it, it costs "nothing", and it works.
So what's the problem?

  • No controlAttachments sit unencrypted on mail servers, often several of them, and remain retrievable for a long time. You have no control over who has access.
  • Legally problematicProfessionals bound by confidentiality obligations and special categories of personal data face heightened confidentiality requirements. Storing data with a third party therefore can be legally problematic.
  • Error-proneWrong recipients, forwards, and size limits are part of everyday life.
  • Loss of trustA breach doesn't just risk a fine, it risks your clients' trust above all.

Many firms already know this.

The alternatives are expensive or cumbersome

You already have workflows and software that work. Switching to an all-in-one system is unnecessary, time-consuming, and expensive.
For secure data exchange alone, it isn't justified.

  • More than you needPortals and firm platforms often bring more than you need: client management, workflows, signatures, integrations.
  • High costOngoing costs that add up quickly: depending on the provider and team size, a portal with file exchange starts at around 1,000 EUR a year, often considerably more.
  • Complex ImplementationSetup, integrations, and training: weeks instead of minutes, often requiring external consultants.
  • A Barrier for ClientsClients have to register, manage passwords, and learn how to use a portal, so many end up emailing again anyway.
  • Data in Third-Party HandsYour data is still stored with a service provider, involving subcontractors and potential cross-border data transfer concerns.
  • The Cloud Isn't the SolutionCloud storage is cheap and quick to set up, but it doesn't solve the fundamental problem: your documents are still stored on external servers, often with providers based outside the EU.

Yet secure data exchange needs neither a portal nor a change of systems.

Your way out

Data transfer without a detour through someone else's server

The desktop application memo works with shares:
you make a folder or files available via a link.
Depending on the settings, the other side can view, search, download, or upload files themselves.

I want to provide documents

Tax assessment, legal brief, medical finding, doctor's letter

  1. Assemble a collection

Assign files to a collection, no copy and no upload. Set a password.

  2. Share the link

Send the link or QR code to the client.

  3. Client downloads

Open the link in a browser, view and save files. No installation, no registration, no account.

I want to collect documents

Receipts, bank statements, payroll records, prior findings, evidence

  1. Create a collection

Create a collection, e.g. inside a client folder. Allow uploads, set a password.

  2. Share the link

Send the link or QR code to the client.

  3. Client uploads

Documents are uploaded in the browser and land directly on your computer. Clarify questions in the collection's built-in chat, not in an email thread.

Both paths use the same technology. Your files stay where they are, and access ends the moment you end the share.

Built to be secure. And more secure than the way you work now.

With memo, security isn't an added feature, it follows from how it's built: there is no place where your documents are collected.

Security of the transfer

Encrypted transfer

Everything transferred between your computer and your client's browser is encrypted in transit and cannot be read along the way. With this technology, encryption is a built-in part of the connection, not a setting that could be forgotten.

No extra software for the client

Your client uses the browser they already have, which is updated regularly. There's nothing extra that could become outdated or vulnerable.

Built on an international standard

memo uses standardized technology that's also implemented in web browsers. It's the same technology video calls in the browser run on.

Open-source foundation

memo's transfer technology is built on open-source software. Its source code is publicly available and can be reviewed by security experts worldwide.

Better than email & portals

No storage with a third party

Your documents are never uploaded anywhere. What isn't stored can't be accessed without authorization, lost, or accidentally shared there. Email attachments, by contrast, sit in multiple mailboxes and on mail servers, and a portal collects every client's documents in one place, a rewarding target for attackers.

No account, no credentials

Your clients don't need an account. That removes forgotten, reused, or stolen portal passwords.

You stay in control

Set a password, limit the number of participants, end a share at any time. A sent attachment can't be taken back, a share can. You can also restrict a share to the local network, for example within the practice.

Fewer parties involved

No cloud provider storing or managing your content, and therefore no chain of subcontractors and no transfer to third countries. A broker server only establishes the connection and never sees the content.

Transparent

In the web interface, you can always see whether your connection is direct or, for example behind a strict firewall, routed through a relay in Germany. Even then, the content stays encrypted.

memo protects the transfer. Protecting your own computer (updates, antivirus) remains your responsibility, as before.

Frequently asked questions

Does my computer need to stay on?
Yes, for as long as the share is active. You switch a collection online when your clients need access to it, and turn it off afterward.
What does it cost?
10 EUR per seat per month for the entire platform, or 100 EUR per seat per year billed annually (net each). Volume discounts on request. You can try it free for 14 days.
How secure is the transfer?
Files travel directly between the devices and are encrypted in transit. A broker server only establishes the connection and never sees the content. Only when a direct connection is not possible, for example behind a strict firewall, does the transfer continue, still encrypted, via a relay server in Germany. Technical details are in the documentation.
Do I need a data processing agreement (DPA)?
memo doesn't store your content. The broker server only sees connection data, and the relay passes through encrypted content. On request, we can provide you with a data processing agreement.
Does it work behind a firewall or on a practice network?
If a direct connection isn't possible, memo automatically falls back to the relay server.
Does memo replace beA or KIM?
No. beA and KIM remain the path to German courts and within the telematics infrastructure, respectively. memo covers exchange with clients and patients.
Which operating systems are supported?
Windows and Linux, macOS in preparation.
How long does a share stay active?
Until you end it. As long as it's running, your computer needs to stay on.
What's the difference between memo and Beam?
memo is the platform, Beam is an app inside it responsible for secure data exchange. Other apps on the platform include, for example, "Files" and "Search & Collect". Your business subscription includes all apps, so also Beam.
